Switching to BoxBoard from another platform

Switching platforms sounds like a headache, but moving your gym to BoxBoard is one of the most common things we help with — and you don't do it alone. Here's what comes over, and how each piece works.

What comes over

  • Your member list — you import this yourself in minutes from a spreadsheet. Everyone gets an invite to join your gym.
  • Your workouts and programming — we set these up with you, so you're not rebuilding your library by hand.
  • Athlete PRs and history — the lifts and benchmark times your members care about. We handle this with you, and how much transfers depends on the platform you're leaving (more below).
  • Memberships and billing — you rebuild your plans in BoxBoard (it's quick), and we help you move existing members' payments over without making them re-enter cards where possible.

Only the member list is a self-serve upload today. Workouts, athlete history, and billing are done concierge — we do the work alongside you rather than asking you to wire up a connection between platforms. There's no one-click "connect my old platform" step; you send us your data and we bring it in.

Start with your members

Everything else attaches to your members, so we always start here. Export your roster from your current platform as a spreadsheet and bulk-import it into BoxBoard — see How do I import members in bulk?. Your members get an invite and land in your gym ready to train.

Bring over your programming

Send us your workout export (or a spreadsheet of your programming) and we'll seed your workouts into your gym — names, descriptions, and scoring types intact. This is a concierge step: you hand us the export and we do the setup.

Athlete PRs and history

This is the part athletes care about most, and it's the most hands-on, because every benchmark has to line up correctly — your "Fran" needs to map to BoxBoard's "Fran" so the history lands on the right workout. We handle that matching for you. Your members need to be invited first (above) so their history attaches to the right person.

How much history is available to move depends on your current platform. CrossFit-focused platforms like Wodify and SugarWOD keep detailed workout and PR history that can come across; some general gym-management platforms don't store workout results at all, so there may be little to bring over. Tell us where you're coming from and we'll tell you exactly what to expect.

Memberships and billing

BoxBoard collects dues through Stripe and you stay the merchant of record — the money goes to you. Setting up your plans is quick: you build them in BoxBoard and the matching Stripe products are created for you (see How do I collect membership dues through BoxBoard? and What does it cost to collect membership dues?).

Moving your existing members' payments comes down to one question: do you already have your own Stripe account today, or does your current platform bill your members on your behalf?

  • You own your Stripe account — Stripe can securely copy your saved cards into your BoxBoard-connected account, so most members never re-enter payment details.
  • Your current platform is the merchant of record — your members add their card the first time they start their membership in BoxBoard (a one-time step).
