Setting up your billing when you switch to BoxBoard

Billing is the part most gym owners worry about when switching — so here's exactly how it works, step by step. You stay the merchant of record: payments go straight to you.

Step 1 — Connect your payouts

Go to Box Administration → Memberships → Set up payouts. Stripe verifies your details and bank account (BoxBoard never sees your bank credentials). Full walkthrough: How do I collect membership dues through BoxBoard?

Step 2 — Recreate your plans

From Memberships → Manage plans → Create plan, add each membership you offer (price, interval, optional free trial). BoxBoard automatically creates the matching product in Stripe — you never touch Stripe directly to build a plan. Pricing is covered in What does it cost to collect membership dues?

Step 3 — Move your existing members' payments

This comes down to one question: do you already have your own Stripe account today, or does your current platform bill your members on your behalf?

  • You own your Stripe account — Stripe can securely copy your saved cards into your BoxBoard-connected account, so most members never re-enter payment details. We coordinate this with you.
  • Your current platform is the merchant of record — your members add their card the first time they start their membership in BoxBoard (a one-time step).

Fixing plans later

Changing a plan's price never affects current members — they keep the price they joined at. To retire a plan, archive it from Manage plans; current members stay on it until they cancel.
